The Corporate Office Ambassador plays a vital role in supporting the daily operations, services, and employee experience at the Caruso Corporate Headquarters. This position is responsible for coordinating workplace services, office operations, employee engagement activities, vendor partnerships, and administrative support. The ideal candidate is highly organized, proactive, service-oriented, and thrives in a fast-paced environment while delivering exceptional support to employees and business partners.
This role is fully on-site, requiring 5-days/week in-office (8am-5pm).

  • Collaborate with the Workplace Experience team to support the day-to-day operations of the Caruso Corporate office and ensure a seamless employee experience.
  • Maintain the overall appearance, functionality, and readiness of the corporate office by overseeing cleanliness, organization, workplace services, and inventory levels.
  • Manage shipping, receiving, and distribution of employee mail and packages.
  • Monitor inventory and order office, kitchen, and workplace supplies, ensuring cost-effective purchasing and timely replenishment.
  • Stock, organize, and maintain office supply rooms, breakrooms, kitchens, conference rooms, and common areas.
  • Coordinate office maintenance requests and liaise with engineering, housekeeping, and third-party vendors to resolve workplace issues promptly and efficiently.
  • Ensure office equipment remains operational by coordinating service calls, repairs, maintenance, and replacements as needed.
  • Establish and maintain organized filing systems, workplace records, operational documentation, and company intranet content.
  • Assist with department invoice processing, expense tracking, and vendor payment coordination.
  • Manage conference room calendars and ensure meeting spaces are prepared and fully functional.
  • Support employee needs by coordinating catering, meeting logistics, and conference room readiness.
  • Assist with the planning and execution of company meetings, events, holiday celebrations, and other employee engagement initiatives.
  • Coordinate employee convenience programs and workplace perks, including dry cleaning services, car wash arrangements, birthday celebrations, and employee recognition activities.
  • Support employee onboarding and offboarding activities, including workspace preparation, access coordination, and welcome materials.
  • Perform additional duties and special projects as assigned, contributing to the overall efficiency and effectiveness of the organization.
  • Minimum of 2 years of experience in customer service, office administration, hospitality, workplace experience, retail, or a related field.
  • Experience working in a corporate office environment preferred.
  • Excellent verbal and written communication skills, including the ability to effectively escalate issues and communicate professionally with employees, vendors, and leadership.
  • Strong customer service orientation with a professional demeanor, positive attitude, and approachable presence.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities, adapt to changing needs, and meet deadlines in a fast-paced environment.
  • Demonstrated ability to work independently and collaboratively while fostering positive working relationships across departments.
  • Strong problem-solving skills with a proactive and solution-oriented approach.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, Adobe Acrobat, Canva, and general office technology.
  • Experience utilizing standard office equipment, including computers, phones, copiers, scanners, printers, and access control systems.
  • Ability to travel to company properties within the portfolio as needed to provide operational support.
  • Flexibility to work occasional evenings, weekends, and holidays to support company events and business needs.

Physical Requirements:

  • Ability to sit or stand for extended periods throughout an 8-hour workday.
  • Ability to move throughout the office regularly to support workplace operations and employee needs.
  • Ability to lift, carry, and move office supplies, packages, files, and equipment weighing up to 40 pounds.
  • Ability to safely operate carts and dollies for transporting deliveries and supplies throughout the office.
  • Frequent use of computers, phones, printers, copiers, scanners, and other office equipment.

Schedule:

This role is required to be present at the office five days a week (Monday to Friday), with flexibility to work occasional evenings, weekends, and holidays to support company events and business needs. Please note that this role is not eligible for remote or hybrid support.
