Specialist at the School of Medicine

The specialist performs the following job duties:

• Planning, coordinating, and managing the work schedule of the Dean of the School of Medicine: organizing external and internal meetings, phone calls, and interviews; maintaining and updating the Dean’s work calendar;

• Tracking incoming documents and correspondence for the School’s leadership and faculty, and ensuring their timely delivery;

• Managing the School’s record-keeping and document flow;

• Preparing and registering official letters in Russian, Kazakh, and English;

• Taking and recording minutes at School meetings;

• Providing administrative support to the School’s faculty regarding the provision of necessary office supplies, software, printed materials, classroom reservations, and technical support;

• Providing logistical support for School events, including the arrival of delegations from the School’s strategic partner university;

• Maintaining records and overseeing the School’s material and technical resources;

• Performing other duties and tasks within the scope of the School’s goals, objectives, and needs.

• To carry out the tasks assigned by the immediate supervisor and the University administration in a timely and proper manner within the scope of one’s job duties and authority;

• To comply with the requirements of the legislation of the Republic of Kazakhstan and the University’s internal documents;

• To be responsible for maintaining labor and work discipline;

• To be responsible for ensuring the integrity of official documents

Requirements:

Knowledge of the Republic of Kazakhstan’s education legislation;

Ability to handle large volumes of information;

Skills in document management and organizing administrative processes;

Analytical skills;

Proficiency in writing;

Fluency in the national language, Russian, and English (spoken and written);

Knowledge of MS Office programs

A professional degree, preferably from a higher education institution where instruction is conducted in English.

Preferred fields of study:

Skills and Abilities:

Communication and organizational skills;

Analytical and critical thinking skills;

Ability to work independently and as part of a team;

Ability to complete tasks within tight deadlines;

Recruitment and selection process
Recruitment and selection at Nazarbayev University include the following process: preliminary selection based on experience and qualifications, assessments (e.g. technical skills/capabilities, aptitude, personality, work samples, in-basket exercises, and informal interviews), and motivation.

Formal interviews form the final stage of the selection process.
They are typically based on organizational values and behaviors and conducted in English.
