About the Role

We’re looking for a motivated and organized HR & Facilities Administrator to be the operational lead of our Bangalore office. This is a hands-on, in-office role where you’ll ensure the workspace is running smoothly, new hires feel welcomed from day one, and our team has everything they need to do their best work. You’ll also partner with hiring managers to support recruiting and hiring efforts locally. You’ll work closely with our HR Manager in the US and serve as the primary point of contact for all things office, people operations, and recruiting in Bangalore.

What You’ll Do

HR & People Operations

  • Own the onboarding experience for all new Bangalore-based hires from pre-day-one setup to their first week in the office
  • Coordinate with the US HR team to ensure new employees are set up in Rippling and have access to all necessary tools and systems
  • Prepare and distribute onboarding materials, office access, and equipment for new joiners
  • Serve as the local go-to for day-to-day employee questions related to HR policies, office logistics, and benefits
  • Support HR initiatives driven by the US team, including mid-year reviews, culture programming, and compliance requirements
  • Maintain accurate records related to local headcount, office inventory, and vendor contracts

Office & Facilities Management

  • Serve as the primary liaison with building management for all facilities-related needs, including maintenance, repairs, access, and vendor coordination
  • Ensure the office is consistently stocked with supplies, snacks, equipment, and anything the team needs to work comfortably
  • Manage relationships with office vendors (cleaning services, pantry suppliers, courier services, etc.) and track related expenses
  • Oversee the general upkeep, cleanliness, and organization of the office space
  • Coordinate office-related logistics for team events, offsites, or visiting employees from the US

Recruiting & Hiring Support

  • Partner with Bangalore-based hiring managers to coordinate and move candidates through the interview process
  • Schedule interviews, manage candidate communications, and ensure a smooth, timely hiring experience
  • Maintain up-to-date candidate records and pipeline activity in Ashby (our ATS)
  • Support job postings, offer letter preparation, and pre-boarding logistics for new hires
  • Serve as a local point of contact for candidates interviewing in person at the Bangalore office

What We’re Looking For

  • 2–3 years of experience in an office administration, HR coordinator, recruiting coordinator, or facilities management role
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously
  • Excellent communication skills — you’ll work closely with a remote manager, local hiring managers, and candidates
  • Proactive, solutions-oriented mindset; you notice what needs to get done and take ownership
  • Comfortable working with tools like Slack, Notion, and Google Workspace; experience with an ATS (e.g. Ashby) or HRIS (e.g. Rippling) is a plus
  • Professional, warm, and approachable — people should feel comfortable coming to you with questions
  • Prior experience supporting a startup or fast-paced tech environment is a bonus
