PURPOSE OF THE POSITION
The Manager of Order Management, HBS is responsible for leading the HBS Order Management team and overseeing all related processes, including order entry, delivery, and billing. This role interfaces with cross-functional teams to ensure streamlined order fulfillment and serves as the key point of contact with SMA's Global Order Management team for process improvement. The Manager of Order Management, HBS is accountable for the execution of order intake and revenue recognition.
PRIMARY DUTIES / RESPONSIBILITIES
• Collaborate closely with GOM to manage all order management processes, and own and maintain policies and procedures related to order fulfillment.
• Lead the Order Management team to process sales and service orders and contracts, communicate with customers, and coordinate with internal functions including Sales, Operations, GOM, and CCM to organize order confirmation, arrange delivery, and process return shipments and transportation claims.
• Lead the Billing team to process billing of sales and service orders, including prepayment invoices and credit notes, create and maintain customer master data, obtain contract and PO signatures, arrange conditional waivers, and serve as the main contact for all billing inquiries, new customer applications, tax jurisdiction maintenance in SAP, and credit processing including RMA returns.
• Investigate, analyze, and lead cross-functional problem resolution and process improvement initiatives with SMA HQ and internal functions including Accounting, Sales, Operations, and CCM.
• Own the monthly revenue forecast and coordinate with Supply Chain, Transportation, and CPM to provide monthly revenue recognition as accurately as possible.
• Provide reporting and analysis on open orders, open deliveries, allocations, sales forecasts, and other requested reports.
• Participate in the planning, design, development, testing, training, and communication of new and existing tools and processes.
• Lead, direct, evaluate, and develop Order Management staff to ensure effective use of team resources and that schedules and targets are met.
• Other duties may be required or assigned.
REQUIRED RELEVANT PROFESSIONAL EXPERIENCE
• Minimum of 5 years of Order Management experience required.
• At least 3 years of people management experience required.
• Experience managing an operational unit and performing Order Management functions required.
• SAP/ERP experience required.
• In-depth knowledge of Order Management, including project and distribution business, service and O&M contracts, and billing required.
OTHER SPECIALIZED SKILLS
• Broad knowledge of revenue recognition, AR reconciliation, and sales tax including tax-exempt certifications.
• Strong understanding of business context with the ability to collaborate closely with Sales, Service, Accounting, Supply Chain, and CPM.
• Proficiency with Microsoft Office Suite including Word, PowerPoint, and Excel is required.
• Excellent interpersonal, organizational, and written and verbal communication skills required.
• Organized, detail-oriented, and a high level of accuracy required.
• Demonstrated ability to lead and drive process improvements.
• This position may require periodic travel for training or process review.
