JOB SUMMARY
We are looking for a highly organized and proactive Operations & Administration Executive to support the smooth day-to-day functioning of our office and internal operations.
This role is critical in ensuring that internal processes, office logistics, and administrative coordination run efficiently. The ideal candidate is detail-oriented, reliable, and comfortable managing multiple operational responsibilities in a fast-paced environment.
KEY RESPONSIBILITIES
Office & Administrative Operations
- Manage day-to-day office administration and operational logistics
- Coordinate with vendors and service providers for office needs
- Maintain office supplies and operational requirements
- Ensure the office environment runs smoothly and efficiently
Documentation & Record Management
- Maintain and organize internal documentation and company records
- Manage administrative documentation including contracts and internal files
- Ensure records and operational documents are properly structured and accessible
HR & Onboarding Support
- Assist the HR team with employee onboarding coordination
- Manage gate entry approvals and office access for new hires and visitors
- Help maintain employee records and administrative documentation
- Support onboarding logistics and internal coordination
Travel & Scheduling
- Coordinate travel bookings including flights, accommodation, and transport
- Assist with meeting scheduling and internal calendar coordination
- Support leadership and teams with operational scheduling tasks
Internal Tools & Systems
- Manage and maintain internal tools used for operations and documentation
- Coordinate access to internal systems for new team members
- Ensure internal operational information is organized and updated
Office Operations & Team Support
- Coordinate company-funded meals and daily team logistics
- Ensure meal arrangements and refreshments are organized for the team
- Support cross-team operational tasks when required
REQUIREMENTS
- Bachelor's degree in Business Administration, Management, or a related field
- 3–5 years of experience in administration, office management, or operations
- Strong organizational and documentation skills
- Excellent communication and coordination abilities
- Proficiency in Google Workspace (Docs, Sheets, Drive)
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Strong attention to detail and reliability
GOOD TO HAVE
- Experience supporting HR operations or employee onboarding
- Familiarity with tools such as Notion, Slack, or ATS platforms
- Experience working in a startup or high-growth environment
